Listen to received voice messages
Listen to recorded voice messages and check their generated text.
Before you begin
The account must have incoming-audio recording configured by its operator. This page shows received recordings; uploading a file to Media does not add it here. A transcript is a written version generated from the recording.
What to do
- Open Audio in the dashboard menu.
- Choose a status filter to find Pending, Completed or Failed transcripts.
- Choose Listen or Play beside the recording you want to hear.
- Read the transcript once its status is Completed. Verify names, numbers and other important details against the recording.
- Choose Transcribe pending, when available, to request processing for the waiting recordings.
- Choose Regenerate on a recording if you want a new transcript, then choose OpenAI or Gemini.
Worked example
Example data: a recorded voice message says that an appointment is at 14:00. Open that recording, listen to the time and compare it with the transcript before using the text in a reply.
How to check it worked
Playback loads the recording. A completed transcription shows text, but does not guarantee every word is correct.
What to know
- OpenAI and Gemini are transcription services. Gemini uses a queue, meaning recordings wait their turn; a request can remain Pending for several minutes. The list refreshes automatically.
- Regenerate requests another transcription of the same recording. It does not send a WhatsApp message.
Common problems
- What you see
- No recordings appear.
- What to do
- Clear the status filter and ask the operator whether incoming audio was recorded for this account.
- What to expect
- Recorded audio appears when available; past unrecorded messages are not added by uploading them.
- What you see
- The transcript remains Pending or shows Failed.
- What to do
- Allow time for queued processing. If it fails, save the displayed error before requesting regeneration.
- What to expect
- Processing produces a completed transcript or an error the operator can investigate.
- What you see
- Playback fails to load.
- What to do
- Try loading the same recording again and note any error if it still fails.
- What to expect
- The audio plays when the stored recording is available.
