WhatsApp scheduling

Schedule WhatsApp messages to contacts and groups

Set the send up once and ZapBot repeats it by itself, straight from the server: a fixed notice every X minutes in your groups, a daily rotation with text drawn from a sequence, or a campaign for your contact list, started whenever you want.

What you can schedule

  • Recurring posts in groups: a fixed interval in minutes or a daily rotation, with one send per group per day
  • Campaigns to contact lists, started whenever you want and with a delay between each send
  • A message drawn from a sequence on every send, with text, image, video or audio
  • Rotation spread across time slots through the day, in the timezone you choose
  • Several numbers sending in parallel, each with its own daily limit

How scheduling works

1. Pick the destinations

Select the device and the destination groups by pasting each group's JID (it shows on the Groups screen as soon as the number is connected). In the daily rotation you can also pick a saved group list.

2. Choose the mode and the content

Fixed interval repeats the same message every X minutes. Daily rotation makes one send per group per day, with a shifting time and a message drawn from a sequence you register.

3. Let it run

Sending happens on the server, with no computer switched on. The panel shows what went out today, the time of the last send and the errors for each group.

A real example

A shop registers 30 groups in a list and a sequence with 20 ad variations with an image. The daily rotation, with 96 slots, spreads one send per group through the day, draws a different message for each one and records the result. A second schedule, at a fixed interval, repeats the opening-hours notice every 12 hours in 3 support groups.

What the tool does not do

Scheduling respects the number's daily limit and the spacing between sends: the more groups, the longer a cycle takes. The number must be a member of every destination group, new schedules start switched off until you enable them, and messages refused by WhatsApp show up in the panel with the error.

Frequently asked questions about scheduling

Can I schedule a message to a WhatsApp group?

Yes. You enter the groups the number already belongs to (by JID or from a saved list) and choose between repeating the message at a fixed interval or running a daily rotation. ZapBot sends one group at a time, on the server.

Do I have to leave a phone or computer on?

No. Schedules run on the server around the clock; the phone only needs to keep the WhatsApp session connected.

Is the same message always sent?

Only if you want it to be. At a fixed interval the message is always the same; in the daily rotation the system draws, on every send, one message from the sequence you registered, with text, image, video or audio.

Which plan includes scheduling?

Campaigns are part of every plan (Starter allows up to 3 active campaigns) and message rotation in groups is listed on the Pro plan. Check the details on the plans page.

Can I choose the timezone and the number of sends per day?

Yes. The daily rotation uses the timezone you set and splits the day into 24, 48 or 96 slots; each group gets one send per day at a time that shifts daily. At a fixed interval, you set how many minutes apart the message repeats.
